Privacy Policy

1. Who We Are

Vetevid is a veterinary clinical reference tool. References to "we", "us", or "our" refer to Vetevid and its operators.

2. Information We Collect

Registered users:

• Email address — used solely for authentication (one-time code login)
• An anonymised hash of your IP address at the time of registration
• Your chat history (questions you ask and the answers generated)
• Optional feedback you submit on answers (thumbs up/down, comments)

Guest users:

• An anonymised, irreversible hash of your IP address
• The question(s) you submit (to improve the service and track usage)

We do not collect: names, payment information, precise location, or device fingerprints beyond IP hashing.

3. How We Use Your Information

• To provide the Vetevid service and deliver answers to your queries
• To enforce fair-use limits (guests: 1 question per day per IP)
• To review the quality of answers and improve the service
• To send one-time login codes to your email address

We do not use your data for advertising, profiling, or sale to third parties.

4. Third-Party Services

Vetevid uses the following third-party APIs on the server side. Your queries and content are transmitted to these services to generate answers:

• Google Gemini API — language model that generates answers
• Google Custom Search API — retrieves relevant veterinary sources
• Jina.ai — fetches full article text from retrieved URLs

These services are governed by their own privacy policies. We do not share your email address or account information with them.

We also use Google Analytics for aggregate, anonymised usage statistics, and Google Search Console for site performance monitoring.

5. Data Retention

• Login codes expire automatically after 10 minutes
• Chat history is retained until you delete it or close your account
• Guest query records are retained for internal analysis and are not tied to personally identifiable information

6. Your Rights

You may request deletion of your account and associated data at any time by contacting us at the address below. We will process deletion requests within 30 days.

7. Security

All API keys and credentials are stored server-side and are never exposed to the browser. Connections are encrypted via HTTPS. IP addresses are stored only as one-way SHA-256 hashes and cannot be reversed.

8. Children

Vetevid is intended for use by veterinary professionals and is not directed at individuals under the age of 18.

Terms of Service

1. Acceptance

By accessing or using Vetevid, you agree to these Terms. If you do not agree, do not use the service.

2. Intended Users

Vetevid is designed for licensed veterinary professionals, veterinary students, and researchers. By using Vetevid, you represent that you have the training and professional context necessary to critically evaluate AI-generated clinical information.

3. Nature of the Service

• Vetevid generates answers by querying veterinary literature sources (Merck Veterinary Manual, AVMA journals, and others) and synthesising results using a large language model.
• Answers may contain errors, omissions, or outdated information. Cited sources should always be verified independently.
• Vetevid does not provide a veterinarian–client–patient relationship.
• Dosage recommendations, treatment protocols, and diagnostic guidance from Vetevid must be verified against current reference materials and adapted to the individual patient.

4. Prohibited Use

You may not use Vetevid to:

• Make clinical decisions without independent professional verification
• Provide advice to pet owners as a substitute for veterinary consultation
• Attempt to reverse-engineer, scrape, or abuse the API
• Submit queries that violate applicable laws

5. Disclaimer of Warranties

Vetevid is provided "as is" without warranties of any kind, including accuracy, completeness, or fitness for a particular purpose. We do not guarantee that answers are free of error.

6. Limitation of Liability

To the maximum extent permitted by law, Vetevid and its operators shall not be liable for any clinical, professional, or financial damages arising from use of or reliance on the service.

7. Modifications

We may update these Terms at any time. Continued use of Vetevid after changes constitutes acceptance of the revised Terms.

8. Governing Law

These Terms are governed by applicable law. Any disputes shall be resolved in the appropriate jurisdiction.

Cookie Policy

Vetevid uses a minimal set of cookies necessary to operate the service:

Session Cookie (PHPSESSID)

A single HTTP-only, secure session cookie is set when you visit Vetevid. It keeps you logged in and stores your CSRF token. This cookie is not used for tracking or advertising. It expires after 30 days or when you sign out.

Google Analytics

If analytics are enabled, Google Analytics sets cookies (_ga, _gid) to measure aggregate, anonymised usage. No personally identifiable information is included. You may opt out via Google Analytics Opt-out.

We do not use advertising cookies, third-party tracking cookies, or cookie banners, because we don't run ads.
